Who We Are

My Halong is a local travel help service for visitors to Ha Long, Vietnam. We help with transfers, tours and cruises, stays, local information and trip planning. We also receive partnership enquiries from local professionals, businesses and service providers. Our website is https://myhalong.com/.

Information We Collect

When you contact us through the website, email, contact forms, Zalo, WhatsApp, Telegram or another channel, we may collect the information you choose to provide.

For travel enquiries this may include your name, contact details, travel dates, route, pickup point, destination, group size, accommodation preferences, budget and other details needed to answer your request.

Partner application data is described in the “Partner Applications” section below.

We may also process basic technical information such as IP address, browser and device information, pages visited, submission time and anti-spam signals. This helps us operate and protect the website.

How We Use Your Information

Submitting a partnership enquiry does not guarantee cooperation, publication, customers, bookings or income. We do not sell personal information and do not automatically add form users to marketing lists.

Consent and Processing

When you submit a form or contact us, you ask My Halong to process the information needed to answer your request, review possible cooperation and take steps before any agreement. Where a form asks for consent, we use that consent to review the information and contact you. You may withdraw consent by contacting us. Withdrawal does not affect processing already carried out or information we must retain for legal, security or dispute purposes.

Partner Applications

When you submit a partner application, My Halong may collect the contact person’s name, business or service name, phone number, email address, Zalo contact, preferred messenger and language, service category and description, website or business page, information about available resources and capabilities, the type of cooperation that interests you, and any additional information you choose to provide.

We use this information to receive and review the application, assess a potential cooperation relationship, verify relevant information where reasonably necessary, and communicate with you about possible next steps. Submitting an application does not guarantee approval or cooperation.

Depending on the circumstances and applicable law, processing may be based on your consent, on steps taken at your request before entering into a possible cooperation agreement, on compliance with legal obligations, or on My Halong’s legitimate operational and security interests where such a basis is recognised by applicable law.

Access is limited to My Halong administrators and authorised persons who need the information to review or manage the application. Information may also be processed by technical providers involved in website hosting, form processing, email delivery, security or backup services, only to the extent necessary to provide those services.

Applications are stored in WordPress through SureForms Entries. A notification is also delivered to partners@myhalong.com. Limited technical SMTP logs may temporarily record delivery details such as the recipient, subject, time and delivery status. SMTP logs are retained for 14 days.

Declined, closed or inactive applications may be retained for up to 12 months after the application becomes inactive. Information relating to an active partner may be retained for the duration of the cooperation and for a reasonable period afterwards where necessary for administration, legal obligations, security, accounting or dispute management. Data that is no longer required will be deleted or anonymised where reasonably practical.

You may contact My Halong to request access to, correction of or deletion of information submitted with a partner application, subject to applicable legal and record-keeping requirements. Requests relating to partner applications may be sent to partners@myhalong.com.

Partner application information is not published automatically. Do not use the MVP application form to send passports, identity documents, licences, banking details, passwords or other sensitive documents. If supporting documents are needed later, My Halong will request them separately through an appropriate channel.

Information submitted through the partner application is not sent to Google Analytics 4. GA4, where enabled with the appropriate consent, receives website usage events rather than the contents of the application.

Forms, WordPress and SureForms

Website forms may be operated through WordPress and SureForms. Form submissions may be stored in the protected WordPress administration area so My Halong can review and manage them. Access is limited to administrators or appropriately authorised personnel. Form entries are not displayed publicly.

Email Delivery

The website may send internal notifications and, when an email address is supplied, a confirmation to the sender. We may use our hosting provider’s email or SMTP service, or another approved technical mail provider, to deliver messages, record delivery status and protect the system. Email delivery is not guaranteed and some messages may be filtered as spam.

Spam Prevention and Security

We may use measures such as a honeypot, submission limits and Cloudflare Turnstile or an equivalent tool. These measures may process technical information such as IP address, browser and device information, submission time and interaction signals to distinguish genuine users from automated activity.

Sharing Your Information

For travel requests, we may share only the information required with relevant local service providers. For partnership enquiries, information is used internally for assessment and communication. We may provide necessary information to hosting, form, email, security or professional service providers where required to operate the website, process a request, protect the service or comply with law. We do not share information for unrelated marketing.

International Processing

Some technical providers may operate infrastructure or support teams in other countries. Information may therefore be processed outside your country. We aim to use providers with appropriate safeguards and limit processing to what is necessary for the purposes described here.

Cookies and Analytics

Our website may use cookies and similar technologies for essential functions, security, performance and visitor analytics. Non-essential analytics are activated according to the consent choice shown on the website, where applicable. You can change your privacy choice on the website or manage cookies through your browser.

Third-Party Services

Pages may contain forms, maps, analytics, videos, social links or messenger links. When you use them, the relevant provider may process information under its own privacy policy.

How Long We Keep Information

We retain information only as long as necessary for the purpose for which it was collected. Active travel requests and partnership enquiries are kept while they are being handled and, where applicable, during an ongoing service or cooperation relationship. Closed or declined partnership enquiries may be kept for up to 12 months after closure to avoid duplicate handling, answer related questions and maintain reasonable records. Information may be retained longer where required by law, security, an active agreement or a dispute. When no longer needed, it is deleted or anonymised where practical. Technical backups may be overwritten according to the normal backup cycle.

Your Rights

Depending on applicable law, you may ask what personal information we hold about you, request a copy or correction, request deletion, withdraw consent, object to or restrict certain processing. We may need to verify your identity. Some information may need to be retained for legal obligations, security, legitimate claims or disputes.

Security and Sensitive Information

We use reasonable technical and organisational measures to reduce unauthorised access, loss, alteration or disclosure, but no online system is completely secure. Do not send unrequested sensitive information such as passport or ID numbers, bank details, passwords or document images through an initial contact or partnership form.
